Use a save-the-date to reserve the slot, then send the full invitation with the venue, separate arrival and programme times, dress guidance and one RSVP route. Send a reminder before the response deadline. If a key detail changes, give guests the new information in a separate notice.

When to send each notice

Work backwards from the venue’s final headcount deadline and allow time for late replies. Use a save-the-date once the date is approved, then send the full invitation when the venue, timings and RSVP route are confirmed.

Send the reminder while guests still have time to respond. If the venue, date or start time changes, issue a separate notice and update the existing invite wherever staff can still find it.

Save-the-date template

Use this when the date is approved and details are still being finalised. If the venue is pending, omit it and say the full invitation will follow.

RSVP handoff checklist

Give each team the information needed for its part of the event. Agree a final headcount deadline and a single owner for changes.

Caterer

Final headcount and agreed meal counts. Share individual meal details privately only with the staff who need them to serve the correct meal.

Venue or banquet coordinator

Guest count, table layout, agreed access arrangements and the arrival window. Confirm the room, level and route from the drop-off point.

Emcee and AV team

Total expected attendance, whether guests are included, the programme run sheet with registration, dinner and activity timings, and any segments that depend on audience size (games, lucky draw tiers).

Transport or logistics

Number of guests using the shuttle, parking pass allocation, or any group transport bookings.

Late RSVP cutoff

Set a final date for changes with the venue and caterer. Ask late responders to check with the committee about seats and meals.

Worked example: shift-team scenario

For a company with shift teams, ask department leads when colleagues can leave work. In an illustrative plan, office and day-shift teams check in first and a second arrival window opens after the shift handover.

Put both check-in windows and the shared programme start in the invitation. Collect expected arrival windows through the existing RSVP route. Give the venue the counts for each window and brief the emcee on when the first activity can begin.
